Administrative Business Manager

Responsible for financial, human resources, administrative and facility management for the entire operation.  Provide input relative to tactical and strategic planning activities.

Responsibilities:

  • Organize financial information so that the laboratory is run as a fiscally responsible business
  • Work with Puerto Rico governmental agencies to handle necessary business licensing, certifications, operational fees, taxes, inspections, and vehicle licensing.
  • Ensure appropriate processes are put into place to track revenues and expenses
  • Ensure that key measurements are put in place to be utlized for trend analysis to include personnel and supplies expenses and other key revenue and expense ratios
  • Provide timely and accurate weekly and monthly forecasts
  • Work with General Manager to develop accurate budget and track on an ongoing basis
  • Work with project management team and administrative support staff to ensure timely and accurate invoicing
  • Manage laboratory finances (cash & checking)
  • Manage and process A/P entries in a timely and accurate manner
  • Manage A/R procedures to ensure timely revenue collection
  • Ensure appropriate personnel practices are followed across the laboratory; personnel performance reviews are held in a timely manner and that personnel records and payroll information is kept up to date
  • Administer employee benefits program
  • Administer salary administration program in accordance with Puerto Rico regulations
  • Develop pro-active recruiting activities which will allow the laboratory to maintain a pool of flexible employees
  • Plan laboratory wide events which develop teamwork and camaraderie
  • Work with Corporate Training Staff to ensure employees participate in the appropriate training programs
  • Promote cooperation and teamwork among staff
  • Maintain administrative support staff
  • Maintain facility in client-presentable manner and in a manner which will meet safety and insurance requirements
  • Manage building maintenance and janitorial service personnel
  • Manage support staff with appropriate day-to-day guidance

Requirements:

  • College degree in business or accounting and 5 years office/business management experience preferred
  • Strong computer and spreadsheet experience required
  • Must possess multi-tasking, organizational and communication skills
  • Must be bilingual - fluent oral and written ability in English and Spanish
